 Library Staff Assembly (LSA) Executive Committee  Meeting Minutes:

Welcome New Members:  

-Emily and the old members welcomed and thanked the new members- Caton, Christen (Member-at large), Raple, Mary (Member-at-large); and Thomas, Paul (Vice-Chair/ Chair-Elect) 

Minutes Approval: 

-Minutes from 02.14.19 were approved by all the members  

Quorum: 

-Emily explained about quorum and difficulties getting the quorum which is 2/3rd of the staff members  which roughly comes to 66 staff members 

Updates from LFSA: 

-Emily said that LFSA is working on the code related to quorum. Still discussions are going on if having  quorum for all the meetings or just for the fall and spring assemblies 

Updates from LFA:

-Emily provided the information that LFA is thinking to cut the number of members required to serve on  the exec board. They will have more discussions and may be the final decision in their next upcoming  meeting 

Updates from Staff Senate: 

-Emily said that no new business. All the discussions are about budget cut 

Tuition Assistance Program: 

-The situation of the Tuition Assistance Program remains the same as it was last month. For the  refresher, the same points are below as were in the last meeting notes 

- The new tuition assistance policy  

-The staff will have to pay tuition to third-party institutions (like ESU) up front and then request  reimbursement after the class ends and may be provide the proof of passing the class 

-Seems to be no reimbursement for online classes as well as out of Kansas classes 

-Emily will write a letter voicing concern about the effect on library staff who use our tuition benefit to  attend library school. Emily will ask the staff to provide stories/ thoughts to support the proper tuition  assistance for the staff 

-Dean Smith is aware and will write a separate letter to voice his concern 

Staff Development Day: General: 

-Emily has booked the rooms and catering 

-38 staff members are participating this year 

-35 requested lunch 

-Emily has ordered 5 extra lunches 

-No request for ham sandwich, only requests for turkey, beef and vegetarian sandwiches -2 gallons of coffee mostly for the morning sessions 

-1 gallon of hot water and assorted tea bags for tea 

-Name tags for the registration by Meredith 

-Most of the sessions will be in Big 12 room of the Union on 5th floor 

-Emily and Sunita will be at the Union at 8 AM 

-Christen and Sunita will set up for the Social on West 3 

-Discussion about the tentative schedule for the SDD 

-Suggestions were given to make changes for the breaks in between the sessions -Suggestions were given to shorten the duration of the day 

-Suggestions were given for the breakout sessions 

-Suggestion to have SDD with fall or spring general assembly to make it easier to get quorum

- The presentation will introduce Compassionate Communication, an approach to communication that provides tools to listen and speak in a way that does not rely on judging, criticizing, and blaming oneself or others. Compassionate Communication addresses teamwork and workplace interactions by preparing yourself to focus on shared human needs as you work together rather than using blame, criticisms, guilt-tripping, and fear of punishment as motivators for behavior. Approaches include translating judgments into observations, emphasizing needs, replacing thoughts with feelings, and changing demands into requests.

Option 1: Taking Yourself to the Next Level – The Benefits of Coaching for Your Career & Life

- What is Coaching exactly? How can it benefit me? What happens in a typical coaching session? These are just a few of the questions we’ll answer in this session. Sharon is an Associate Certified Coach through the International Coaching Federation (ICF) and has already been coaching a number of staff and faculty here at KU Libraries. We’ll talk about what coaching is and how it can support your professional and personal growth. Coaching can inspire new ways of thinking about challenges by helping you eliminate blocks, get more focused, make needed changes or simply keep you accountable to goals. Option 2: SharePoint: The power of lists, libraries, and custom columns 

Matt Torres, Functional Systems Analyst – SharePoint

- An introduction to how SharePoint Lists and Document Libraries can provide you with powerful tools for categorizing your files, data, calendar events and even business processes using custom columns to categorize things in any way you see fit. Got a file location or network drive that feels cumbersome to navigate or organize? Want to attach custom pieces of information to a file to use for sorting or filtering? Document Libraries can help. Do you have a business process or other item you’d like to be able to track and keep records for?  A List is a great way to do this. I will show examples of ways KU Libraries already uses these and how to set up and use these custom column values to easily sort, group, filter and share files and information.

- In this session, we’ll begin with a conversation about the basics of good customer service. We’ll review both the sins of bad service and the measures of good service. Then, we’ll focus on attributes that good colleagues share. We’ll wrap up by discussing some advice for providing excellent service to internal customers and some tips for being an excellent internal customer.

- If your ancestors were living in the United States in the 1860's, chances are good that you're related to someone who served in the Civil War. The war touched everyone's lives living in the United States at the time. Discover Civil War records scattered in federal, state and local repositories as well as other resources.
