Present:

1. Update on USS Handbook in Policy Library – Ann brought up to staff senate - HR supposed to help people look things up if they ask
- Too difficult to find it in the policy library without guidance
- Unclassified staff have handbook while USS don’t
- Provost in favor of including a handbook for staff
- Senate want to do virtual handbook for all staff with links to appropriate policies, look up items by topic
- Been given to Senate committee –Personnel Affairs. Senate members asking for volunteers to help identify appropriate links
- Can also look to see if differences between USS and UPS are indicated on website - Can use Libraries staff listserv to ask for feedback or notify about this issue
2. Cultural Competency Conference update
- Cultural Competency Conference
o 10 facilitators for breakout sessions
o Defining social justice terms
o Broke into groups of about 8 to discuss various issues
o Topics included intersectionality, case studies on social justice issues/bias
o Valuable to interact with others across the university
o Vanessa Delgado, Cody Charles
o Valuable to hear stories of others’ negative experiences to highlight areas where we could still grow. Easier to learn from this format than lecture
o Attendance = about 200
- This could be hosted multiple times a year? Can we suggest this? Libraries staff may be more apt to participate with others across KU than with their colleagues
- Leadership Summit (hosted by Central HR)
o Facilitated by Vanessa Delgado, coming to speak at an All Staff meeting (March 10) o Marianne: Was it recorded? Will this be made available? Can we check on this? This is held only once a year and is so popular; could resources be made accessible ? Could we suggest this be done multiple times a year?
- Brian: Staff Fellows trying to determine where cultural competency training is needed this year
3. Staff evaluation and goals process
- Question was raised about how goals are determined
- Mike and Leah gathering examples of how supervisors/employees used the system (process, not technical) to share these out for next year
- What is the difference between personal or professional goals? Is this all self-assigned? Or is it the difference between supervisor-added or self-added?
- System relies on conversations that take place outside the system
- Too many core competencies; too much repetition for reviewers
- If system times out, you can lose information
- Sometimes evaluation isn’t submitted when it appears to have sent
- Much, much longer process than previously
- Competencies are too much character traits rather than quantifiable skills
- Is there a feedback mechanism in helping to improve for next year (to those at campus level) - Periodic updates (monthly, quarterly) helps people ensure they are recording progress on their goals before they get to the end of the year
- Can share for feedback periodically
- Nobody beside supervisors and employee can see their own evaluation; Libraries HR and those up the chain can’t see the evaluation so we’ve had to complete procedures outside the system - Leah to check whether there is a mechanism from Central HR to provide feedback - Efficiencies –is there a way to reduce the workload?
4. Dean Smith’s Office Hours
- Kevin said he doesn’t know many staff in meeting with Marianne and Leah
- Should we encourage staff to go introduce themselves, if nothing else?
- Marianne to send out a message encouraging staff to introduce themselves - Could he meet people somewhere else? Neutral space? Can be intimidating to go to the admin office
- Has eliminated the signup account, which may have been a barrier to some
