The Dean and the LCPT debriefed regarding the application of assessment procedures concerning a
candidate’s tenure potential and confirmation of rank.
Action items
- The LCPT agreed to evaluate and make recommendations on the policy and procedure for making recommendations to the Dean for new hires;
- Outgoing member agreed to participate in this evaluation.
- The Dean agreed to meet with the LCPT regularly to improve communication.
LCPT 05/09/2025: Open P&T Meeting (Zoom)
LCPT hosted an online meeting to provide P&T candidates and their mentors/advisors tips to prepare for P&T dossiers. 19 attended.

Chair reported about the status of a recent faculty search and discussed the potential tasks
for LCPT.

PTTR Calendar revision
- LCPT revised the PTTR calendar.
Many dates were moved forward to allow LCPT members sufficient time to review
candidates’ dossiers and submit reports promptly.
- Jill will inform Mike to update the current calendar.
- Supervisors of the PTTR candidates should be informed of these dates change (at the open PTTR meeting)

Different from PT, PTTR does not include external supporting letters and will not be
submitted to UCPT. The letter should be a short summary of our evaluation.

PT: one candidate for Fall 2025 PTTR: 6 candidates for Spring 2026
LCPT will need more time for Ad Hoc and Evaluation. (Spring 2025: Ad hoc file due on 1/8, final file due on 1/22)
Jill will contact advisors of the candidates to modify the PTTR schedule to allow us more time for evaluation. Probably we will recommend to move the Ad hoc file submission before winter Break.

Members checked if they could get access the lpat (O:) drive, Sharepoint LCPT page, One Drive
folder for drafts. Jill will contact Mike to authorize access for Whitney.
Amalia provided reflections on the Ad Hoc Review, particularly the CV template provided by KU. Ad Hoc reviewers agreed to delete all unrelated categories from CV. In the future, LCPT should discuss Ad Hoc review process to make it easier for both candidates and LCPT reviewers.
Jill reviewed next steps:
All members will review the four files by next meeting on 1/28/25.
- For each section we will rate as either:
- Demonstrates progress toward tenure
- Improvement required for continued progress toward tenure
- Record not sufficient for progress toward tenure
- For the overall evaluation:
- Evidence sufficient for continuing tenure track appointment at this time
- Evidence requires a subsequent formal probationary review within one academic year
- Evidence supports a recommendations for non-reappointment (Note that this third option could lead to termination if the Dean concurs)
- LCPT ultimately submits recommendations that include:
- Demonstrates progress toward tenure
- Initial Evaluation Document:
- Full evaluations written for prof. perf., research, and service.
- Summary of these longer evaluations.
- LCPT rating for each section and Overall evaluation rating.
- Letter to Dean summarizing the committee’s findings and recommendations. Highlight noteworthy examples and/or areas for concern.
- List of additional suggestions for the Candidate. This is separate but referred to in the Dean’s letter. Previous Deans did not share full list with candidate but referred to whatever points they wanted to. We will work on this list as we discuss files and revise along the way.
- Members discussed the extent to which they would review and provide constructive criticism on the candidates’ performance.
- Members agreed to defer the decision on writing assignments (who will write which section or whose file) until the next meeting.
- While some members may work closely with the candidates, it was agreed that they could write evaluations of those candidates, except for their mentors/supervisors.
- However, this potential conflict could impact the review process next year, as all PTTR candidates are mentored or supervised by one or two LCPT members.

Tonia contacted Whitney regarding scheduling meetings for the upcoming in person interviews for the Archives Manuscript Processing Coordinator position. Amalia volunteered to meet all three candidates. It is better to rotate the role. In January meeting, we will map out the rest of the year.

LCPT held an open meeting for PTTR
26 participants (including PTTR candidates, supervisors, HR, LCPT members) attended.
Jill explained the PTTR process and the role of LCPT. She then went through the PTTR calendar and Help Guide:

Additional Comments and Q&A:
- The purpose of the ad hoc review is to allow candidates a final opportunity to check their files for style, not content, before submission.
- Seek advice from your advisors or mentors early to allow them sufficient time to assist you.
- It is recommended to meet with advisors/mentors to review final documents before the ad hoc check and final submission.
- Verify if you can upload files to the designated folder in advance.
- Philosophy is often considered one of the most challenging aspects. Allocate ample time for reflection. The statement of philosophy helps to underpin the variety of research activities and unify them into a coherent research program. Candidates are encouraged to discuss their research activities with their advisor/mentor in relation to the future PT to ensure a strong and coherent research program.
